What to Expect When You Book a Wedding Florist

Booking your wedding florist is one of the most exciting parts of the planning process. This is where your ideas begin to bloom into a complete visual experience.

At Red Oak Floral, we believe flowers are more than décor. They create atmosphere, romance, movement, and the art that brings your wedding day to life.

Here is what you can expect when working with us.

The Red Oak Floral Wedding Process

1. Initial Inquiry

You’ll begin by reaching out through our website with your wedding date, venue, estimated guest count, floral investment, and a few details about your vision.

We’ll confirm availability and make sure Red Oak Floral is the right fit for your celebration.

2. Discovery Call

Next, we’ll schedule a complimentary consultation to learn more about you, your style, and your priorities.

During our conversation, we may discuss:

  • The feeling you want to create

  • Your color palette and floral preferences

  • Ceremony and reception priorities

  • Inspiration photographs

  • Your venue and its natural surroundings

  • The moments where flowers matter most to you

You do not need to know every flower—or have every detail decided—before the call. We’ll help you turn your inspiration into a cohesive direction.

3. Custom Design Proposal

After our consultation, we’ll create a custom floral proposal for your wedding.

Your proposal may include:

  • An itemized list of personal, ceremony, and reception flowers

  • Floral installations and statement pieces

  • Style notes and color-palette recommendations

  • Inspiration images and visual direction

  • Rental and candle details

  • Delivery, installation, and breakdown

  • A clear investment outline

You’ll have an opportunity to review the proposal and request adjustments before moving forward.

4. Booking and Retainer

To officially reserve your wedding date, we require a signed agreement and a non-refundable retainer.

Once both have been received, your date is secured on our calendar and the design process can move forward.

5. Your Payment Schedule

Your proposal and agreement will include a clear payment schedule so you know exactly what is due and when.

This allows the financial details to be handled well before the wedding, leaving you free to enjoy the final weeks of planning.

6. Design Refinement

As your wedding approaches, we’ll refine the floral plan together.

This may include adjustments based on:

  • Final guest count

  • Updated floor plans

  • Ceremony and reception layouts

  • Linen and tabletop selections

  • Wedding-party numbers

  • Newly added floral moments

Your design may evolve as the rest of the wedding takes shape. We’ll make sure every floral choice still feels cohesive and intentional.

7. Venue Walkthrough

For larger weddings, complex installations, or unfamiliar venues, we may schedule a walkthrough with you, your planner, or the venue coordinator.

This gives us an opportunity to confirm measurements, access points, installation timing, placement, and other logistical details.

8. Final Confirmation

Approximately four weeks before the wedding, we’ll review the complete floral plan one final time.

We’ll confirm quantities, delivery details, installation timing, venue access, and every floral piece included in your proposal.

This is when the plan becomes final and flower ordering begins.

9. The Wedding Day

Our team arrives on-site to deliver, install, and style every floral element with care.

From bouquets and ceremony flowers to reception tables and large-scale installations, we make sure every piece is placed beautifully before your guests arrive.

You get to experience the finished space without worrying about what happened behind the scenes.

10. Breakdown and Cleanup

After the celebration, our team returns to remove installations, collect rental items, and complete the agreed-upon floral breakdown.

You can leave the evening knowing those final details are already being handled.

The Red Oak Floral Experience

We believe the floral process should feel creative, collaborative, and beautifully organized.

From the first conversation to the final flower placed, our role is to listen carefully, guide you through the decisions, and create a floral experience that feels unmistakably connected to your wedding.

The goal is not simply to fill a list of flower requests. It is to understand what matters most to you and design a celebration that feels thoughtful, personal, and complete.
